Privacy Policy

This policy explains what we collect, why, and what control you have over it.

1. Information we collect

  • You give us: name, business name and job title, industry category, email address, phone number, website and social links, profile photo or logo, biographical answers, and anything you type into the site.
  • Created by using the platform: referrals given and received, thank-you-for-closed-business records, one-to-one meetings, attendance, votes on applications, requests and posts, and notifications.
  • Applications: the information supplied when applying, including who invited you, plus the record of the membership vote and approval decision.
  • Automatically: standard server log data such as IP address, browser type, and pages requested.

2. How we use it

To operate the network: to run the member directory, process applications and votes, track attendance and referral activity, send service email such as invitations, password resets, meeting notices, and reminders about referrals you have not yet closed out, and to keep the platform secure.

3. Who can see what

  • Members only. Your profile, contact details, biographical answers, referral and attendance history are visible inside the members-only area — not to the public.
  • Public, only if you opt in. Your digital card is private unless you switch it on. When enabled, the name, business, category, photo, and contact details on that card become publicly viewable, and you may appear in the public member directory. You can turn this off at any time in your profile.
  • Applicants. Application details are visible to members for the vote and to administrators for the decision.

4. Service providers

We use third parties to run the platform — Microsoft Azure for hosting and data storage, and Twilio SendGrid for sending email. They process information on our behalf and are not permitted to use it for their own purposes. We do not sell your personal information.

5. Cookies and analytics

We use cookies that are necessary to sign you in and keep your session secure. We also use Google Analytics on the public pages to understand how the site is used (pages viewed, approximate location, device type). Google sets its own cookies for this; see Google's privacy policy for details. You can block these with your browser settings or an ad-blocker without affecting your ability to use the site.

6. Retention

We keep your information for as long as you are a member and afterwards as needed for our legitimate business records. When membership ends, profile and login access are removed or deactivated; historical referral, attendance, and business records are retained as part of the chapter's records.

7. Security

We use reasonable technical and organisational measures, including encrypted transport and hashed passwords, to protect your information. No system is perfectly secure, and we cannot guarantee absolute security.

8. Your choices

You can view and edit your profile at any time, control whether your card is public, and ask us to correct or delete your information by contacting hello@vipnetworking.net. Depending on where you live you may have additional rights — including, for Colorado residents under the Colorado Privacy Act, rights of access, correction, deletion, portability, and opt-out. We will respond as required by applicable law.

9. Children

The platform is for business professionals and is not directed to anyone under 18. We do not knowingly collect information from children.

10. Changes

We may update this policy. Material changes will be posted here with a new effective date.
